What can I do to increase my chance of
being awarded a bid? |

Answer |
The Polk County Sheriff’s Office reserves
the right to award the bid/proposal to the lowest, most responsive
and responsible Bidder who submits the bid meeting specifications
most advantageous to the Sheriff’s Office. The Sheriff’s Office
further reserves the right to consider matters such as, but not
limited to quality offered, delivery terms, budget requirements,
location and service reputation of the Bidder, in determining the
most advantageous bid. A “responsive bid” is a bid which meets all
the terms, conditions and specifications of the Bid Document. A
“responsible bidder” is a bidder who has the financial resources,
personnel, facilities, integrity, and overall capability to complete
a particular Polk County Sheriff’s Office contract successfully. |

How does a Vendor become eligible to bid
on items and/or services? |

Answer |
The first step in becoming a Vendor would
be to fill out our Vendor Information Form which is available on our
Web page which is www.polksheriff.org,
or picked up in person from our office or via Fax, 863.413.2892.
Once that is completed and returned to our office, a staff member
will input your information into our computer system, assign a
vendor number to you and/or your company and assign commodity code(s)
for products and/or services which you represent. |

Where does the Polk County Sheriff’s
Office advertise Informal and Formal (sealed) Bids? |

Answer |
Public Notice is given in the Polk County
Democrat which is a local newspaper for advertisement of our Formal
(sealed) Bids, only. Our website regularly updates current
solicitations. This information can be found at Public Notices. You
can also call our office periodically to obtain information on
upcoming bids at 863.413.2882.

What is the difference between an Informal
and Formal Bid?

Answer |
An Informal Bid is a competitive bid or
price quotation for supplies or services that is conveyed by letter,
telephone, or other means and does not require a sealed bid, public
opening, or public reading of bids. A
Formal Bid is a competitive bid/proposal that must be submitted in a
sealed envelope and in conformance with a prescribed format to be
opened in public at a specified time. |

Can I withdraw my Bid prior to the Bid
opening? |
|
Answer |
Yes. Bidders’ authorized representatives
may withdraw bids only by written request received by the Purchasing
Supervisor before the Bid Submittal Deadline. After that time,
Bidders may not withdraw their bids for a period of ninety (90) days
from the Bid Submittal Deadline. At no time may the successful
Bidder(s) withdraw his bid. |

Where do I ship items ordered?

Answer |
The printed purchase order issued from the
Purchasing Section has a section/field in the upper right hand which
is titled “Ship To” and that will have the shipping information
listed for that particular order. Should you have questions, please
